How to add your email signature
Gmail
Click Copy signature. In Gmail, open Settings (the gear icon) → See all settings → General, scroll to Signature, click Create new, name it and paste. Choose it as the default for new emails and replies, then click Save Changes at the bottom of the page.
Outlook (new Outlook and Outlook on the web)
Open Settings → Accounts → Signatures, create a new signature, paste, and save. Then pick it as the default for new messages and replies.
Apple Mail
Open Mail → Settings → Signatures, select your account, click + and paste. Untick Always match my default message font so your layout and colours stay as designed.
What makes a good professional email signature
- Keep it short. Name, title, company and one or two contact details. Four to six lines reads well on a phone.
- Make it clickable. Phone numbers, your email and your website become links, so people can call or visit in one tap.
- Use text, not one big image. A signature made of a single image can be blocked or shown as an attachment, and its text can't be copied.
- Host your photo or logo online. Link to an image on your website rather than pasting the picture itself.
- Use one accent colour. Match your brand colour and keep the rest neutral.
Frequently asked questions
Is this email signature generator free?
Yes. It is free with no sign-up, and it adds no watermark or branding to your signature.
Does it work with Gmail, Outlook and Apple Mail?
Yes. Copy the signature and paste it into the signature settings of Gmail, Outlook or Apple Mail. The layouts use simple tables and inline styles, which email apps display most reliably.
Are my details stored or sent anywhere?
No. The signature is built in your browser and nothing is sent to our servers. Your details are saved in this browser only, so you can come back and edit them; clear them any time with the Clear button.
How do I add a photo or logo?
Paste the address (URL) of an image that is already online, such as your company logo on your website. Many email apps, including Gmail, do not show images embedded directly in a signature, so a hosted image is the reliable way.
What should a professional email signature include?
Your name, job title and company, one or two ways to contact you (phone and email), and your website. Keep it short: four to six lines is easier to read than a long block, especially on a phone.
